THE OPPORTUNITY

Crossroads International is looking for a reliable Driver-Administrative Assistant to support the office with all transport-related duties and some administrative tasks. Working out of the East and Southern Africa Regional Office, the Driver is an integral part of the team in Tanzania. The incumbent will drive Crossroads’ vehicle and undertake errands in Dar es Salaam and its project areas and for all official trips. They will also be responsible to ensure that the Crossroads vehicle is maintained and in optimum condition.

HOW YOU WILL MAKE AN IMPACT

  1. Office Driver Responsibilities (80%)
    • Drive the Crossroads vehicle carefully ensuring the security of passengers and vehicle, in accordance with national and local traffic regulations and other relevant laws.
    • Safely transport organizational staff, equipment, products and materials to and from specified locations in a timely manner.
    • Ensure passengers observe safety measures established by Crossroads and local laws especially the wearing of seat belts.
    • Report any accidents, injuries, and vehicle damage to management in a timely manner.
    • Assist with the loading and offloading of staff luggage, products, and materials.
    • Adjust travel routes to avoid traffic congestion or road construction.
    • Ensure Crossroads’ vehicle is always parked in areas that permit parking to avoid towing or fines.
    • Keep Crossroads’ vehicle clean and properly maintained by performing regular washing, cleaning, and vehicle maintenance.
    • Ensure the maintenance of Crossroads’ vehicle, following up on repairs to guarantee optimum conditions.
    • Ensure genuine parts are used on the vehicle with no alterations being made to any part of the vehicle without the prior approval of the Regional Representative.
    • Ensure old parts changed are made available for inspection.
    • Maintain an up-to-date vehicle logbook and vehicle maintenance record book, providing monthly reports on vehicle usage to the Regional Finance and Administration Manager.
    • Develop a schedule for renewing relevant documents related to the vehicle.
  2. Administrative Assistant Responsibilities (20%):
    • Assist with administrative tasks relevant to Crossroads
    • Keep track of vehicle insurance
    • Purchase office supplies as needed
    • Keep track of office utilities and inform the Regional Finance and Administration Manager when replenishment is required
    • Assist office staff in filing, photocopying, scanning documents as necessary
    • Collect and distribute mail, invoices, receipts and other documents as directed
    • Supervise the office cleaner to ensure proper cleaning and maintenance of the office
    • Assist in reviewing documents as trained and instructed
    • Execute any other task as assigned

WHAT YOU WILL BRING TO CROSSROADS

  • A minimum qualification of a driving certificate from a reputable driving college. Certificate of Advanced Driving Course from NIT or VETA. A diploma in records management/business administration or its equivalent
  • A minimum valid driver’s license from Class C
  • Clean driving record
  • Sound knowledge of road safety regulations
  • Working knowledge of local roads and routes
  • At least 5 years’ experience as a company driver, preferably in an NGO environment
  • Basic knowledge of computer software applications (Microsoft Word, Excel, Outlook)
  • Ability to complete administrative tasks
  • Eagerness to learn, adaptability and enthusiasm for an evolving work environment
  • Strong interpersonal skills with an ability to build trust
  • Ability to work independently and take initiative
  • Ability to utilize maps, GPS systems, and car manuals
  • Effective communication skills in English and Swahili; French is an asset
  • Punctual, reliable and accountable, demonstrating integrity in all aspects of their wor
